We are trialling a new Teams Phone System! Here are a few quick tips on how to get started.


Note that only staff who currently have an external 01932 XXXXXX number and an Avaya handset will be allocated a Teams Phones licence. Staff who do not have a handset will continue to make video and voice-only calls internally to staff and students.


If there is a phone in a shared office, this will be replaced with a new Teams handset. If you have an Avaya handeset currently as your desktop phone, your Surface Pro becomes your phone, and we can provide a headset if required.


1) Forwarding an incoming call to another in Teams.


You receive an incoming phone call and click on the blue circle handset sysmbol to answer (note there is no video call option! It's a voice call only):



If the call is for another, your have a choice. Either to pass on the call directly, or ring the member of staff first to see if he or she wants to accept the call.


To pass on directly - click on the 3 dots, and click on Transfer:



The caller will be put on hold with music. Select the member of staff who the call is directed to, and click on Transfer:



You also have the option to direct the call to the member of staff's Work voicemail if you know he or she are busy.



To ring the member of staff first to see if he or she wants to accept the call, click on Consult then transfer:




If the member of staff agrees to take the call, then Transfer the call. If not, advise the caller to call back or email as appropiate.


2) Teachers in lessons. How to stop incoming phone calls.


In Teams, go to Calls on the left:




And down the bottom on the left are forwarding options. You can forward directly to voicemail, so your Surface Pro will not ring if teaching, for example:



Remember to turn this off when not required.


3) More Teams Calls Settings


 If you click on More Settings:



Then there are further settings, such as the number of seconds before calls go to Voicemail, or set different Ringtones:
